BTCHEL EXHIBITOR INFORMATION

Welcome to BTCHEL – The Nordic Bitcoin Conference.

This document outlines all practical information required for exhibitors. Please review carefully and forward to your stand builder, production partner, or logistics provider where applicable.

EXHIBITOR DEADLINES


Expo Stand Design & Printed Materials 

Deadline: Thursday, September 3, 2026

Submit all print-ready artwork files (backdrop and curved desk, if included in your package). Backdrops cannot be produced without approved artwork delivered by the deadline.

Electricity Requirements & Large Items 

Deadline: Thursday, September 10, 2026

Notify us of:

  • Electrical needs beyond standard small devices
  • Oversized or heavy items requiring special handling

Failure to inform us in advance may result in limited onsite assistance.

Extra Furniture, Technology & Decor Orders 

Deadline: Thursday, September 10, 2026

All additional rental orders must be placed via the production team at least two weeks prior to the event.


EVENT DATES & HOURS

  • September 25, 2026: 08:00 – 20:00
  • September 26, 2026: 09:00 – 18:00

Opening times may be adjusted based on the final event schedule.

Exhibitors may access the venue 30 minutes prior to visitor opening hours.


SETUP & TEARDOWN 


Setup 

Thursday, September 24, 2026 | 18:00 – 21:00 

All stands must be fully completed during this time.
No setup is permitted during event opening hours.


Teardown 

Saturday, September 26, 2026 | 18:00 – 20:00

All materials must be removed immediately after the event.

Items left behind will incur a mandatory disposal fee.
The organizer is not responsible for unattended materials.

Merikaapelihalli, Kaapelitehdas (Cable Factory)
Kaapeliaukio 3, 00180 Helsinki

Main Entrance 

Used for attendee registration and badge collection.
Access to Merikaapelihalli is through the Glass Courtyard.

Loading Entrance 

Address: Tammasaarenlaituri 7, Helsinki. Entrance is marked with M1.

EXPO FLOORPLAN & STAND ASSIGNMENTS

Floorplan & Stand Locations 

The expo floorplan provided is preliminary and for illustrative purposes only.
The organizer reserves the right to modify layout and booth placements as required by production, safety, or operational needs.

Stand numbers will be communicated directly to all exhibitors closer to the event.


EXPO STAND INCLUSIONS

Your booth package includes:

  • WiFi connection
  • Electricity: 2 x Type F (Schuko) sockets (230V / 50 Hz)
  • Preset basic lighting (non-adjustable)
  • Backdrop (branded or black curtain depending on booth package)
  • Orange expo carpet
  • Furniture according to your booth agreement

Exhibitors are responsible for delivering final print-ready backdrop artwork.

If artwork is not available, you may submit your logo and one solid brand color; we will apply them to our standard template.

Exhibitors may engage external suppliers for custom stand builds or additional rentals. Contact production for recommendations if needed.


ELECTRICAL & TECHNICAL INFORMATION

Finland uses Type F (Schuko) sockets, 230V / 50 Hz.

Bring appropriate adapters if required.

For high-power equipment or special requirements, contact the production team in advance.


LARGE OR HEAVY ITEMS

Notify production in advance if you plan to bring oversized or heavy items requiring special access, lifting equipment, or additional handling.


FOOD & BEVERAGES

If you plan to distribute food or beverages at your stand, notify production in advance due to local regulations.


STAND DESIGN GUIDELINES

BTCHEL prioritizes a clean, design-forward and professional expo environment.

To maintain this atmosphere:

Sound

  • Sound systems are strictly prohibited
  • No music or amplified audio
  • Marketing videos must be played without sound

Lighting

  • Additional lighting must be subtle and adjustable
  • No overhead rigging permitted
  • Only small decorative lighting solutions within your stand are allowed

Structure

  • Maximum stand height: 2.5 meters
  • Ground-level flooring is recommended for accessibility
  • All stand elements must be fully self-supported

The organizer reserves the final right to approve, modify, or prohibit any stand elements that conflict with safety, production requirements, or overall event aesthetics.

Stand design proposals including large screens, lighting systems, or custom structures must be submitted for approval.


SAFETY & SETUP RULES

Exhibitors are fully responsible for their stand setup (excluding included structures and furniture).


Not Permitted

  • Blocking aisles or corridors
  • Extending materials outside your designated space
  • Leaning structures against neighboring stands or venue elements

Restricted Work

Certain work must be performed by approved personnel. Contact production if your setup includes:

  • Electrical installations
  • Rigging
  • Hot work (welding, flame cutting, etc.)

REGISTRATION & ACCESS

Exhibitor Check-In

All staff present during event hours must register and collect wristbands during setup.


Venue Entry

Exhibitor wristbands allow access 30 minutes before public opening.
Staff present only for setup or teardown do not require credentials.


PARKING & TRANSPORTATION

Setup Day (September 24, 2026):

  • Vehicles may stop briefly at the loading entrance for unloading only.
    Vehicles must be moved immediately after unloading.
  • No parking is provided by the organizer.
    All exhibitors are responsible for arranging and covering their own parking.
    Street parking in the area is subject to municipal fees and availability.

Event Days (September 25-26, 2026):

We strongly recommend public transportation, taxis, or ride-sharing services due to limited parking capacity.


CLEANING & WASTE MANAGEMENT

Cleaning will take place:

  • After setup day (September 24, after 21:00)
  • Between event days (September 25 evening)

Exhibitor responsibilities:

  • Dispose of waste at designated recycling points
  • Remove packaging and boxes
  • Keep stands clear and organized

Cleaning staff will not move furniture or remove exhibitor materials.
No waste removal services (box disposal, bin emptying) are provided.


PRINT MATERIAL POLICY

BTCHEL encourages sustainability and minimal print distribution.


Not permitted:

  • Stickers (venue restriction)
  • Flyers distributed in common areas

Flyers must remain within your stand space.

Common areas will be cleared regularly.


LOGISTICS & SHIPPING

IMPORTANT: NO ADVANCE DELIVERIES

The venue does not accept advance shipments.

Any items delivered before setup hours may be rejected or returned at the exhibitor’s expense.

Exhibitor items must be brought during setup hours.

If using a logistics provider, a company representative must be present to receive the shipment.

Shipping Recommendations

  • Use reliable providers (e.g., DHL, FedEx)
  • Ship within the EU to avoid customs delays
  • Non-EU exhibitors are responsible for customs clearance

Storage Assistance

Limited storage assistance may be available for an additional fee.
Contact production for details.


HOTEL RECOMMENDATIONS

Holiday Inn Helsinki – West Ruoholahti by IHG

Holiday Inn is the nearest hotel to the event venue at just 500 meters away from the entrance.

The City Centre and all attractions of Helsinki like the National Gallery, the Amos Rex and all major shopping venues, can be reached in a few minutes from the nearby Ruoholahti Metro Station.

Clarion

A nice option with a view can be found near the West cruise ship terminal. Clarion offers a tower hotel right next to the gulf of Finland. Use the code: EVENTSHELSINKI for a 15% discount on room deals that include breakfast.
