BTCHEL2025 VOLUNTEER INFORMATION

Welcome to the BTCHEL 2025 volunteer team! By joining us, you’re helping power Nordic’s leading Bitcoin conference, shaping an event that unites developers, investors, educators and enthusiasts from around the globe.

Please read this volunteer info carefully. This page contains essential details and instructions to help you prepare for the event.

1. Volunteer Info Session

When: Thursday, July 31 · 18:00 (UTC+3, Helsinki time)
Where: BTCHEL Popup Store – plus a remote link via Google Meet
Why: Walk through your role, meet the core team, and get real-time answers

2. On-Site Team Introductions

To get you up to speed on the venue and your tasks, each team will meet for a 30-minute walkthrough on Thursday, August 14 (exact times TBA).

  • Venue tour and back-of-house access
  • Task overview for your role
  • Q&A with Production Team

Not mandatory, but highly recommended for a smooth first shift.

3. Your Shifts & Schedule

  • Shift length: 4.5 – 5 hours
  • Minimum commitment: 2 shifts
  • Check your individual schedule in the confirmation email.

Event Opening Hours (Visitors)

 

  • Aug 15: 08:00 – 18:00
  • Aug 16: 08:00 – 18:00

Some teams will have a pre-event setup role on Thu, Aug 14.

4. Venue & Access

Location: Kulttuuritehdas Korjaamo, Töölönkatu 51 A–B, Helsinki

 

  • Main entrance for registration & wristband collection
  • Volunteer wristband grants early access but not entry to the VIP area
  • Floorplan and staff-only zones will be shared here closer to the event

5. Before & During Your Shift

What To Do First?

  1. Check-in at the Registration & Info desk
  2. Pick up your official Volunteer T-shirt
  3. Connect with your dedicated Production team member for task assignments

Meals & Refreshments

  • One meal per shift provided at the designated break time
  • Tap water in Finland is high-quality drinking water—bring a refillable bottle

Dress Code

  • Volunteer T-shirt (provided)
  • Casual, comfortable clothing underneath
  • Closed-toe, comfortable shoes (safety first!)
  • Change out of your T-shirt when off duty to avoid confusion

6. Getting There

  • Parking: Extremely limited, nearest parking are Mäntymäen kenttä (Mäntymäentie 1) and P-Töölö (Töölönkatu 23-25), both with tolls.
  • Recommended: Public transport (check HSL route planner), taxi, or ride-share for hassle-free arrival

7. Community & Conduct

At BTCHEL, we’re building a community of respect and curiosity. As a volunteer, you are both ambassador and host.

 

Access outside shifts: All volunteers may attend talks and the expo outside their assigned hours—but VIP area is off-limits.

 

Remember

  • Be the experience: A friendly greeting or helpful direction can make someone’s day.
  • Ask questions: If you’re unsure, ping the Production team—no one expects you to have all the answers.

Support each other: A united team sets the tone for a successful event.

9. Changes & Cancellations

  • Can’t make it? Let us know ASAP so we can reassign your shift.
  • Last-minute emergency? Contact us immediately via Telegram.

10. After the Conference

  • Certificate of Service: Available upon request
  • Feedback survey: We’ll send a short form—your insights help us improve!

FAQ

Q: I have a friend who wants to volunteer—can they join me?
A: Ask them to submit the volunteer form. We’ll let them know if spots are still available.

Q: Is accommodation provided?
A: No. Volunteers may use the Telegram group to arrange shared lodging. You can also check the “Travel” site from BTCHEL website for recommendations.

Q: Can I watch sessions during my shift?
A: Please focus on your post during your shift and enjoy sessions in your free time.

Q: Is the after-party included?
A: After-party tickets are not covered. Volunteers receive a discounted code (personal, non-transferable).

Q: What should I bring?
A: Refillable water bottle, phone + charger, comfortable shoes.
