EXHIBITOR DEADLINES

Printed Materials Deadline: Thursday, July 17, 2025

Submit logos and design files for printed materials via email if your stand tier includes print materials.

 

Expo Stand Design & Structure Deadline: Thursday, July 17, 2025
For complex stand designed with your own production partner, submit your plans to our production team for approval by this date.

 

Electricity Requirements & Large Items Deadline: Thursday, July 24, 2025
Notify us of any electrical needs beyond standard small devices or plans to bring oversized or heavy items by this date.

 

Furniture & Technology Orders Deadline: Thursday, July 31, 2025
Place orders for additional furniture or technology rentals through our production team via email at least two weeks prior to the event.

 

Food & Drinks Orders Deadline: Thursday, July 31, 2025

Place orders for any food or drinks you’d like to have at your stand through our production team via email at least two weeks prior to the event.

EVENT DATES & HOURS

August 15, 2025: 8:00 AM – 6:00 PM

 

August 16, 2025: 9:00 AM – 6:00 PM

 

Please note that opening times are subject to change based on the event schedule.

 

Exhibitors may access the venue one hour before visitor hours. An after-party is scheduled for August 15; exhibitor area timings will be updated closer to the date.

SETUP & TEARDOWN SCHEDULE

Setup Day Thursday, August 14, 2025:
All stands must be fully set up by the end of this day. No setup is permitted during event hours.

  • Area 1 (Kulmasali): Setup from 4:00 PM – 7:00 PM
  • Area 2 (Lobby): Setup from 6:00 PM – 9:00 PM

Teardown & Move-Out Saturday, August 16, 2025:

5:00 PM – 7:00 PM. All materials must be removed immediately after the event concludes. Items left behind will incur a mandatory disposal fee. Contact our production team in advance for storage or logistics assistance.

VENUE DETAILS

Location: Kulttuuritehdas Korjaamo, Töölönkatu 51 A-B, 00250 Helsinki
Main Entrance: For attendee registration and badge collection.
Loading Entrance: Located between the buildings; refer to the venue map for details.

EXPO FLOORPLAN, VENUE MAP & STAND NUMBERS

The expo layout and stand assignments will be shared closer to the event date. No need to inquire separately; we will distribute the preliminary map to all exhibitors once finalized. Please be aware that adjustments may occur based on event requirements.

STAND INCLUSIONS & GUIDELINES

Included Amenities:

  • WIFI connectivity
  • Electricity (2 standard Type F/Schuko sockets suitable for screens, laptops, or small devices)
  • Black backdrop: Curtain-style (please note: branding or attachments are not permitted)
  • Orange expo carpet
  • Basic furniture Provided according to your stand tier. Options include high tables with bar stools, regular tables with chairs, or a lounge setup wit an armchair and coffee table.
    • Higher-tier stands also include a branded desk with your company logo.

Exhibitors may engage their own suppliers for stand design, setup, and rentals. For recommendations, contact our production team.

 

Guidelines:

 

Large & Heavy Items

Notify us in advance if you plan to bring oversized or heavy items requiring special access or equipment. Failure to inform us may result in limited onsite assistance.

 

Electrical Specifications

Finland uses Type F (Schuko) sockets with a 230V / 50 Hz power supply. Bring appropriate adapters if your equipment requires different plug types. For high-power equipment, contact us beforehand to discuss requirements.

 

Food & Beverages

All food and beverage offerings must be ordered through the venue’s restaurant; bringing outside items is prohibited. Contact our production team for menu and drink options.

STAND DESIGN, LIGHTING & SOUND GUIDELINES

To preserve the event’s atmosphere, please adhere to the following:

 

Sound Restrictions:

Sound systems are prohibited. Music or amplified sound is not allowed. Marketing videos are permitted if silent; no external speakers or audio playback.

 

Lighting Restrictions:

Additional lighting must be adjustable to complement the event’s ambiance. Overhead rigging is not permitted. Only small decorative lighting solutions are allowed within your stand.

 

Stand Structure Limits:

Maximum stand height: 2.5 meters.
Raised floors: Ground level is recommended for accessibility.

 

Approval Requirements:

For large screens, extra lighting, or unique structures, obtain prior approval from our production team. We reserve the right to modify or restrict stand elements that disrupt the event’s aesthetic or affect neighboring exhibitors. Submit your stand design proposal via email for review

EXPO STAND SAFETY & SETUP RULES

Exhibitors are fully responsible for their own stand setup excluding the basics included in the deal.

🚫 Do not block corridors—keep all materials within your designated space.

 

Structural Safety

  • All stand elements must be self-supported.
  • No leaning against neighboring stands or venue structures.


Restricted Work Types

Certain work must be done by approved personnel. Contact our team if your setup includes:

  • Electrical work
  • Rigging
  • Hot work (e.g., welding, flame cutting)

REGISTRATION & VENUE ACCESS

Exhibitor Check-in
All exhibitor staff attending during event hours must register and collect their credentials. These can be picked up during setup from our production team members. 


Venue Entry
Exhibitor credentials allow early access one hour before doors open. Staff only present for setup / teardown do not need any credentials.

PARKING & TRANSPORTATION

During Setup Day:
Vehicles are allowed in front of the venue for unloading only.
You must move your vehicle immediately after unloading.

 

During Event Days:
We recommend using taxis, ride-sharing services, or public transport as no parking slots are available.

 

Nearest parking: Mäntymäen kenttä (Mäntymäentie 1) and P-Töölö (Töölönkatu 23-25), both with tolls.

CLEANING & WASTE MANAGEMENT

Cleaning Schedule:
After setup day – Thursday, 14 August (after 9 PM)
After day one – Friday, 15 August (between event days)


Exhibitor Responsibilities:

Dispose of waste at designated recycling points before cleaning. No waste removal services (e.g., emptying bins, removing boxes) are provided.

 

Cleaning staff will not move furniture or cluttered stand items.

PRINT PRODUCTS

Sustainability Focus: Minimize print materials (flyers, giveaways, etc.).


🚫 No Stickers Allowed: Venue prohibits stickers as giveaways.


🚫 No Flyers on Common Tables: Flyers cannot be left on tables outside of expo stands. Common areas will be cleared multiple times a day.

LOGISTICS & STORAGE

🚫 No Direct Shipping to the Venue

  • Exhibitor items must be brought during setup time.
  • If using a logistics company, you must be present to receive the shipment.

Shipping Recommendations:

  • Use DHL or another reliable provider.
  • Ship from within the EU to avoid customs delays.
  • For non-EU shipments, exhibitors are responsible for customs clearance.

HOTEL RECOMMENDATION

We have partnered with Scandic Hotels. Their hotel “Scandic Park” is closest to the venue, but they have multiple options in Helsinki. Check their website for daily rates; discounted prices are subject to availability.
